Before you buy a single screen, there’s a software decision that shapes how much time and money the network costs you for years afterwards: where does the content management system (CMS) actually live? It either runs in the cloud, hosted by the vendor, or on a server you own and look after yourself.
Neither is universally better. Here’s how they differ, so you can match the setup to your business rather than to whoever is pitching you.
The short answer
For most Australian businesses, cloud-based software is the better fit. It’s quicker to set up, easy to manage across multiple sites, and doesn’t need an IT person to keep it running. On-premise makes sense mainly when strict security rules or network restrictions mean content must never leave your own environment.
What is cloud-based digital signage software?
With a cloud CMS, the software is hosted and maintained by the vendor. You log into a web dashboard from any device, upload or schedule content, and it’s pushed out to your screens over the internet. There’s no server for you to buy, patch or back up.
Pricing is usually a subscription per screen, per month, which keeps upfront costs low and makes it simple to add screens as you grow. Our pricing guide has typical per-screen software costs by tier.

What is on-premise digital signage software?
With an on-premise CMS, the software runs on a server inside your own network. Your team (or your IT provider) installs it, keeps it updated, manages backups and looks after security. Screens connect to that server rather than to a vendor’s platform.
Costs tend to be weighted towards the start, often a licence fee plus the server hardware, with ongoing costs for maintenance and IT time rather than a monthly subscription.
Cloud vs on-premise at a glance
| Factor | Cloud | On-premise |
|---|---|---|
| Setup time | Fast, often same day | Slower, needs server setup |
| Upfront cost | Low | Higher (licence and server) |
| Ongoing cost | Monthly subscription per screen | IT time, maintenance, upgrades |
| Remote updates | From anywhere with internet | Usually only on your network, or via VPN |
| Multi-site management | Simple, one dashboard | More complex to set up |
| Software updates | Handled by the vendor | Handled by you |
| Data control | Stored on the vendor’s platform | Stays inside your own environment |
| Internet dependency | Needed to push new content | Can run on a closed network |
| IT skills needed | Minimal | Ongoing |
When cloud is the better choice
- You run more than one location. Pushing a price change or promotion to every site from one dashboard is the main reason businesses switch to signage software in the first place.
- You don’t have in-house IT. Updates, security patches and uptime are the vendor’s job, not yours.
- You want to start small and grow. Adding a screen is a subscription change, not a server upgrade.
- Your team needs to update content on the go. Retail, hospitality and property managers often need to change a screen from a phone.
When on-premise makes sense
- Strict security or compliance rules. Some government, defence, healthcare or corporate environments require content and data to stay on an internal network.
- Limited or restricted internet access. If screens sit on a closed network, an internal server may be the only workable option.
- You already have IT capacity. If a team is set up to run and secure servers anyway, the extra workload is smaller.
Some vendors also offer a hybrid approach, where content is managed centrally but stored or cached locally. If your situation sits between the two, it’s worth asking about.
Common questions about cloud CMS
What happens if the internet goes down? Screens in a well-designed setup keep playing the last content they received, so a short outage delays updates rather than blanking the display. It’s a good question to confirm with any supplier before you commit.
Is cloud software secure? Reputable platforms use encrypted connections and user permissions so only the right people can publish to the right screens. Ask any vendor how they handle access control, and where their data is hosted.
Can I switch later? Usually, yes, but moving between platforms means rebuilding playlists and templates. It’s easier to choose well at the start than to migrate after a year of content has built up. Our beginner’s guide to digital signage CMS covers what to look for in any platform.
Questions to ask before you choose
- How many screens and locations will this run across, now and in two years?
- Who will update content, and how technical are they?
- Are there security or compliance rules about where our data can be stored?
- What internet connection will the screens have at each site?
- What support is included, and is it based in Australia?
If your answers point to multiple sites, non-technical staff and normal internet access, cloud is almost always the simpler and cheaper route.
